When was the last time you walked through your shop?

I am not talking about walking and working in the bays or on the service counter.  I am referring to walking through the back room, the inventory shelves, the closet areas and all the nooks and crannies.

The other day, I did my monthly walk through and looked behind the tire balancer to find box after box of overstocked wheel weights.  Hidden out of sight, but not hidden on my statement. 

I quickly gathered the overstock and called the vendor.  My process is that all stock inventory items must be authorized by the manager. The manager has his stocking level sheets and will make sure we do not overstock any item.   When I asked the vendor how this stock got past the manager, his reply was, “The manager was not there that day.”  So, I responded, “And no longer are you.”

The point is that we need to keep track of inventory and have systems in place to check all costs that can go under the radar.  I like to trust my vendors, but as President Reagan once said, “Trust, but verify.”

      For many shops, business during the winter can slow up due to a number of reasons.  What I have found that works is to schedule a flood of service reminders and past recommendations to go out during the months of Jan and Feb.  Maintaining touch with your existing customers is a great way to keep your shop top of mind, and it may just bring in a little extra work too.

      Eric Carlson, co-owner of Ervine's Auto Repair & Grand Rapids Hybrid, has been a technician for over 45 years. His formal automotive education came from Ferris State University where he took all 8 ASE tests prior to graduation in 1977. Eric has been recertified every 5 years since. He took the L1 when it was introduced and is now L3 hybrid certified. Eric is a subject matter expert for ASE and has participated in writing test questions for the L3 test. Eric has been named NAPA and ASE's technician of the year 5 times. Jamie Carlson, co-owner of Ervine's Auto Repair & Grand Rapids Hybrid. She loves her job and is very proud of how her shop has kept ahead of technological changes to stay relevant and customer-focused. Her shop was awarded the 2018 ACE (Auto Care Career and Education) Award in recognition of her dedication to investing in the growth of their employees' knowledge and skills through access to professional development and career opportunities. Jamie is also nurturing the next generation by working closely with her daughter, Megan Dineff.       Technician of the Year: Matt Fanslow, Lead Diagnostician/Shop Manager, Riverside Automotive, Red Wing, Minnesota. ASE Master Certified Technician - A1-A8 and L1 #ASE-1597-7187
      Matt's primary responsibilities are to diagnose driveability and electrical/electronic issues, and perform most all programming, coding, initializing, adoptions, etc. Basically, if it needs to be figured out or has wires, it goes to Matt. He’s been a tech since 1996. Matt is also a subject matter expert for ASE and has instructed at Vision Hi-Tech Training and Expo. Matt has participated on 18 ASE technical committees for the ASE Practice Test, A6, A7, A8, and L1 tests. He’s also done case studies for Standard Motor Products. Fanslow’s goal is to do everything in his power to improve the overall level of professionalism within the automotive and light truck repair trade and also raise the level of its public image.       Service Advisor of the Year: Brittany Schindler, Service Manager Rod’s Japanese Auto Care Bellingham, WA. Years in the industry: 11 years. Brittany loves working at the shop and being able to help people every day. Brittany has learned so much over the years by going to classes with great trainers and having a great business coach. Vehicle donations from customers that go to auction- “cars for careers” Example- transmission/engine repairs. You are able to donate a vehicle  no matter where you are, it’s not limited to only California Low overhead- about 75% of the money coming in from the vehicle donation program gets put into funds. Volunteer-based foundation. You don’t need to be a shop owner to be included in the board of trustees (tax advisor, grant writer etc) Last year they awarded 28 scholarships to 16 deserving students for a total of $23,500. To date, this is the largest amount awarded in the history of the Foundation. Schools involved - community colleges across California such as Cuyamaca College, Skyline College, Rio Hondo College, San Diego Miramar College, Citrus College, Chabot College, UTI Vetting process – Scholarships are awarded to students who fill out applications at https://automotivescholarships.com/ all applicants that meet basic requirements are then scored by a panel of automotive professionals and winners are picked from the highest scoring applicants.       Whether or not we realize it, each shop has a similar workflow process. Like many areas of life, we think that we are all unique in our business strategy. However, reality is we are all very similar, our differences lie in management styles. Our attitude and approach, from employees and customers, defines how we achieve success. 
      Check In Inspection Estimate Building Customer Authorization Work In Progress Completion Follow Up The process, is often hijacked by two elements. The first element is service center employee(s) and their attitude(s) and the second element is the software your business uses.
      Your employees are your team, and that’s exactly the best way to approach your business. When you look at employees as team members and not as just “the new guy/girl” or “Jack the mechanic who never combs his hair”... everyone’s attitude begins to change.

      Being a part of a team is a mindset that everyone ‘shares in the responsibility’, everyone is accountable for their role and if one person fails… everyone has failed. This mindset is used to build all types of companies, some of which end up being valued into the billions of dollars. Teams help each other pick up the slack and work with one another to get through personal and professional barriers.  
      The most important thing to remember about the team, is that everyone can have a bad day, week, month or even months. We are all human and too often we forget everyone is going through something. The team element opens the door to communication among the facility and if people are comfortable enough to communicate, they are open to moving past whatever ails them. We are all too quick to give up on someone we have invested an immense amount of time and energy training to our standards.  With the right team, dedication is matched on all ends, resulting in happy customers that not only return... they refer.  Which lowers acquisition costs and keeps business growth healthy.
